Imporey International, a global leader in product development and distribution, faced inefficiencies in order management, purchasing tracking, and administrative workflows due to ERP limitations. We developed a custom software platform integrating sourcing traceability, order management, product data centralization, and automated invoicing, seamlessly connecting with their ERP.

Overcoming ERP Limitations and Process Inefficiencies

Despite operating with an ERP system, Imporey International faced significant inefficiencies in critical operational areas, including order management, administrative processes, purchasing order and container tracking, and product data management. The existing ERP had several limitations, particularly in accessibility, as users in China could not access it. This resulted in manual workflows that slowed down sourcing and administrative processes, increasing the workload for internal teams and leading to operational bottlenecks.

To address these challenges, we conducted an in-depth operational assessment alongside Imporey International to identify inefficiencies and define a custom software solution tailored to their specific needs. The goal was to build a system that complemented their ERP by centralizing key business functions, streamlining operations, and providing real-time traceability across sourcing, logistics, and sales.

A Custom Software Solution for Integrated Operations

We developed a custom platform to seamlessly integrate with the client’s existing ERP while providing additional functionalities for their global teams. The platform was designed using modern web technologies, ensuring accessibility, scalability, and user-friendly interaction. The system was built around four core modules:

  1. Sourcing Traceability

    This module was developed to link purchase orders (POs) with container shipments, product costing, and logistics data. It centralizes financial tracking by integrating customs fees, logistics expenses, and other related costs, ensuring accurate cost calculations per product. The module connects directly to the ERP for real-time accounting synchronization, eliminating redundant manual data entry and reducing errors in cost allocation.

  2. Order Management System

    The OMS was designed to handle both e-commerce and traditional retail sales, allowing centralized tracking and management of customer orders. This module provides a structured system where orders can be assigned, categorized, and monitored through various operational warehouses. It improves order visibility across multiple sales channels and helps teams optimize fulfillment workflows.

  3. Product Management Module

    Managing product information was a challenge due to discrepancies between internal product IDs and marketplace-specific IDs used by different sales channels. To resolve this, we built a Product Management module that centralizes all product-related data, linking internal and external identifiers. This module also facilitates real-time inventory management when integrated with the ERP, ensuring consistency across all sales and warehouse operations.

  4. Administrative & Invoicing Automation

    The administrative module was developed to automate bulk invoicing based on predefined internal rules for different sales channels. It connects to multiple invoicing tools, including export CFDI and marketplace-specific CFDI systems, allowing the finance team to process invoices efficiently with minimal manual intervention.

    Additionally, a Self-Invoice Portal was created as a customer-facing module, enabling customers to generate their own invoices through the system. This self-service functionality reduces administrative workload and accelerates invoicing processes while maintaining compliance with various regulatory frameworks.

  5. Business Intelligence & Analytics

    To enhance decision-making, we developed a business intelligence suite that consolidates data from different operational areas. The analytics dashboard provides actionable insights for administration and sales teams, enabling better forecasting, sales performance tracking, and operational efficiency improvements. By leveraging centralized data from the custom platform, Imporey International now has improved visibility across financial and operational metrics.
